  • Time Blocks. Control client expectations with "Time Blocks" when scheduling services.

     

    This function enables administrators to define "time blocks" associated to individual services such that clients can choose only a "time block" when ordering a service online as opposed to being able to specify a time.​ This makes it easier to control client expectations relating to service delivery times. 

 

  • Automated production of schedules overnight which can be emailed to pet sitters as required.

 

  • Visit Routine can now be accessed and updated by your clients via the client portal (subject to company option).

 

  • Bulk Receipting - It is now possible to post many receipts as a batch process.

Control client service expectations with "Time Blocks"

 

Pet Sitter Plus now supports "Time Blocks" as an additional means by which to schedule services. The Time Blocks feature enables administrators to define multiple blocks of time for each service item defined in their price list. A typical series of time blocks could be

 

8:00am - 10:00am 

10:00am - 12:00pm

12:00pm - 2:00pm and so on.....

 

Controlling Client Expectations when Scheduling Services Online.

Time blocks are most useful when implemented to support online scheduling within the client portal. When a client is ordering a service online, if they choose a service that is configured with "time blocks", then they are offered a selection of one or more time blocks as opposed to being able to specify an exact time. Time blocks make it more clear that a service will be delivered within the indicated time frame as opposed to at a specific time. This makes it easier to control client expectations relating to the time of service delivery.

 

Scheduling - with time or no time. 

Once a time block has been specified by the client, the service will normally be scheduled at a time represented by the mid point of the time block. However the scheduler is further able to change the specific time of the service to indicate to the sitter an earlier or a later time to start the service within the time block.

 

The scheduler also has the option to "not show" the time at all, in which case only the time block will show which indicates to the sitter that they can decide to start the service at any time within the boundaries of the time block.

Automated production of schedules overnight which can be emailed to pet sitters as required.

 

If you have pet sitters in your team that only work occasionally, they often do not check their schedules as often as you would like and so it is possible that services can be missed. It is therefore difficult to warn part time sitters about up and coming events in their diary without resorting to manual emails and txt's.

 

However it is now possible to send an automated schedule via email to any pet sitter you choose. This schedule will contain anything from one to seven days worth of future services and will serve as a reminder for any part time staff member of their future service commitments.

 

It is possible to tell Pet Sitter Plus exactly which sitters should receive such an email and who should not.

Visit routine can now be accessed and updated by your clients via the client portal (subject to company option).

 

The visit routine forms part of the main client record and it holds all the information required to successfully complete a visit to the satisfaction of your client. It holds important details such as

  • alarm codes and security information required to gain access to the property,

  • information about the visit itself, such as where the pets are located and how they should be fed and cared for,

  • details of any medication required etc.

  • cleaning supplies and food.location of 

 

There is a new setting located in ADMIN > SETTINGS > Client portal settings that allows you to grant access to this information in the client portal such that the visit routine can now be viewed and updated directly by your clients.

 

However due to the sensitive nature of the visit routine, some pet sitting businesses may not wish this information to be available to their clients which is why it is also possible to revoke access to the visit routine so that clients cannot view or update it.

SMTP status report

 

Since the introduction of our SMTP gateway in release version 5.0, the use of email for general communication via Pet Sitter Plus has become very popular with many clients configuring their SMTP gateways to allow this type of communication.

 

However, SMTP integration is occasionally problematic as different email hosts have strengths and weaknesses in their deployment of an SMTP server. In some isolated cases email communications sent from Pet Sitter Plus via SMTP have been going missing and so to help with the diagnosis of this problem we have introduced an SMTP Status report. 

 

The SMTP Status report retains the details of any emails that fail to send along with an error code to help you to diagnose the problem. There are then options available to try to re-send the failed emails or to delete them.

Bulk Receipting

 

For clients who post a lot of checks (cheques), internet receipts and cash, help is on the way. Bulk receipting enables administrators to post many receipts in one action without the need to drill into each client account.

 

This new time saving feature can be found in the Unpaid Invoices report --- INVOICING > UNPAID INVOICES (click this month end).

 

Once you have your list of unpaid invoices on screen, you can select one or more entries that was a) paid in full and b) was received on the same day and c) is of the same receipt type (ie all checks get posted together, then all cash etc). Then by clicking "receipt" you can post receipts of the same type in a batch to your chosen list of unpaid invoices.

Option to show the assigned pet sitter in the client portal.

 

A new option “Show sitter” has been added to client portal settings. (ADMIN > SETTINGS > Client Portal Settings).

 

This option is for businesses that want their clients to know which pet sitter is assigned to their services.

 

When this box is checked, Pet Sitter Plus will show the pet sitter assigned to services appearing in the client portal schedule (accessible by the client) and also on the job request confirmation email (received by the client).

Option to show the assigned pet sitter on the quote / service confirmation and the invoice.

 

A new option “Show sitter on invoice” has been added to the invoicing settings page. (ADMIN > SETTINGS > Invoicing).

 

This option is for businesses that want their clients to know which pet sitter is assigned to their services.

 

When this box is checked, Pet Sitter Plus will show the pet sitter assigned to services appearing on any quote / service confirmation and on any invoices sent to the client.

Option to BCC job request emails to primary sitter.

 

A new option “BCC Job Request Emails to Primary Sitter” has been added to client portal settings. (ADMIN > SETTINGS > Client Portal Settings).

 

“BCC Job Request Emails to primary Sitter” has been added for businesses that want the primary sitter to know when the clients to which they are assigned have ordered services.

 

When this box is checked, Pet Sitter Plus will blind copy the primary sitter with any service requests from their clients.

Date first sent and date last sent now works for quotes / service confirmations too.

 

The date first sent and date last sent is now updated for quotes too! 

Quotes are now CC'd to admin as well as Invoices and you can switch them off.

 

The “Do not CC Invoices” function only used to suppress invoices from being copied (via email) to admin.

 

In release V5.1, quotes are now copied to admin too and you can now suppress this as well with this same function in

ADMIN > SETTINGS > Invoicing.

Other enhancements.

 

Show time was being ignored when online service requests are processed - this is now resolved.

In ADMIN > SETTINGS > Dairy Settings there is a "show time" default flag. This flag sets the default value of "show time" to either "yes" or "no". This flag was being ignored by the online scheduling process such that orders coming into the system always had the time showing. This problem has been resolved in this release.

 

Two problems associated with logging into the client portal are now resolved. 

  1. The email is no longer case sensitive which means that people who habitually log in to the portal with their email address can do so more reliably. So if my email is test@test.com I can now log in with Test@Test.com or TEST@TEST.COM or teST@test.com all variants will work regardless of case.

  2. Clients who had already created a password (but perhaps forgotten that they had) would often try to create another when they should have been using the "reset password" option. The error message "Sorry, a confirmation link could not be emailed to you. This account has already been registered." was not very clear and users often would not know what to do next. So this has now been changed to "Sorry, a confirmation link could not be emailed to you. This account has already been registered, please try resetting your password."  In addition to this, the "please try resetting your password" portion of the message is now a hyperlink that will take the user to the required reset password function.
